Professional Newsletter System with PHP and MySQL

I would like to get an estimate to this project:

KCTV newsletter system brief

We are looking for a company/individual who could program a professional newsletter system for KCTV website (www.kctv.co.uk). Ideally we would like to establish a longer term working relationship so that variety of back-end coding works could be done by this company/individual for KCTV and other web projects designed by Markus Interactive (www.markusinteractive.com).

KCTV has a content management system already on place for the contributor’s and happening sections. There is also an admin area where KCTV directors Kenny Campbell and Tatu Vuolteenaho can add contributors. This existing back-end system has been done with PHP and MySQL. All the existing functions need to work perfectly while the newsletter system is being created.

The front-end has been already created for this newsletter system. This is what we would like the system to do:

1. Email newsletter subscribers database,
these data fields for now
a. Name
b. Email address

2. Programming Newsletter subscription form to take these details into the database. – KCTV’s newsletter page already collects emails, but this would have to be changed so that the details go to database

3. When people subscribe, they would get an email and they would have to confirm their subscription. This needs to be there so that the newsletter wouldn’t go into their spam box.

4. Ability for Tatu and Kenny to ‘manually’ add names and email addresses into the database.

5. Ability to create and send a test newsletter to a test group first.

6. Ability to create and send the newsletter. The email formatting would have these:
a. Subject for the email
b. Have newsletter@kctv.co as the sender
c. Black text on white background
d. Header (first line on the email, Arial 14 bold)
e. Picture to go with the email, to appear just under the header
f. The actual email text to appear under the picture (Arial 12)
g. All that starts with http://www…. Would work as links and would be in different colour with underline
h. All emails would have “small print” at the bottom and including a “unsubscribe” link so that people can click on there and take themselves off the mailing list if they want to.
i. Generally the email newsletter would have to look good and well designed.



7. Ability to send newsletters to our contributor list. (Ability to connect the contributors from existing database into this newsletter system)

8. Ability for Admin to take people off the mailing list “manually”.

questions that we would like to be addressed also with the estimate:

1. It is important that the KCTV email newsletter would have an image and would look always good for anyone who receives it. We had a company, which could not complete the job. They got stuck in to a ‘line break problem’. How can you guarantee that it will look good?
2. I would like to see your plan for integrating this newsletter system into our existing admin area and database. Please describe what steps would you do to make this integration.
3. I would like to see your testing plan for this project. Please describe how you would test this email newsletter system.
4. Would your programming work on the hosting deal we have and there would not be any extra hidden costs?
